Commercial fire alarm maintenance

A fire alarm is only useful if it works the moment it is needed. BS 5839-1 is the UK code of practice for fire detection and alarm systems in non-domestic premises, and it sets out how they should be designed, installed, commissioned and maintained. Regular servicing is what keeps a system reliable across the years between those first two.

Maintenance does more than tick a box. It catches faults before they turn into failures. It cuts down on false alarms, which cost you time, disrupt your business and wear down how seriously people take the alarm. And it gives you a documented trail proving the system was looked after, which is exactly what a fire officer or insurer will ask to see.

What our maintenance visits include

Inspection. Visual checks of every part of the system, the control panel, detectors, sounders and manual call points, to confirm each is sound, clean and unobstructed.

Testing. Functional tests so alarms sound correctly, detectors respond to smoke and heat, and call points trigger as they should.

Servicing. Cleaning components, clearing dust and debris, and replacing batteries and consumables so the system stays operational.

Fault finding and repairs. Diagnosing problems, sourcing genuine replacement parts and putting faults right, plus emergency call-out when something goes wrong between visits.

Documentation. A full record of the work and an updated fire logbook, ready for your fire safety file and available to inspectors and insurers.

Your fire alarm testing schedule

BS 5839-1 splits responsibility between you and your fire alarm company. Knowing which is which keeps you compliant and stops jobs slipping through the gap.

Weekly, by you or your on-site staff. Test one manual call point, working through a different one each week so they all get covered over time. Check the panel reads normal and record the test in the logbook.

Monthly, by you or your on-site staff. A quick check that the panel shows no faults and the logbook is up to date. Any standby power or generator supply is checked where fitted.

Every six months, by our engineers. A full inspection and functional service of the whole system. This is the minimum for most commercial premises. Larger, higher-risk or more complex sites often need visits more frequently, and we will set the right interval after a survey.

Across the year, by our engineers. Every detector, call point and sounder is tested at least once over a twelve-month period, usually spread across the service visits, along with the cause-and-effect programming.

Systems we maintain

We service and maintain the full range of commercial systems, whatever you have installed:

Conventional. The building is split into zones, and the panel shows which zone has triggered. A cost-effective choice for smaller premises.

Twin-wire. An enhanced conventional system with detectors and sounders on a single circuit per zone, which cuts cabling. Well suited to schools, offices and multi-room premises.

Addressable. Every device has a unique address, so the panel pinpoints the exact detector or call point that has activated. The right choice for larger or more complex buildings.

Wireless. No cabling between devices, which suits listed buildings and sites where running cable would be disruptive.

We maintain systems across every category defined in BS 5839-1, from life protection systems such as L1 and L2 through to property protection and manual-only systems, and we work with equipment from all the major manufacturers.

Do you already have a fire alarm?

We can maintain the majority of fire alarm systems on the market. When you switch to us, we start with a takeover service. This is a thorough check of every part of your existing system, because we have too often found substandard work and gaps in the records left behind by previous suppliers. Once we know the system is sound, we take on the ongoing maintenance and certification.

All of it is audited by BAFE, so you are not taking our word for the quality of the work.

Maintenance contracts

We offer planned maintenance contracts for single sites and multi-site portfolios. A contract fixes your service visits in the diary, keeps your logbook and compliance records in order, and gives contract customers priority when a fault needs a fast response. For portfolios, we can standardise the schedule across every site and report centrally, so compliance across the estate stays in one place.

Asset reports

On the first visits we asset-tag every device on your system. It takes time and attention to do properly. The result is a full, itemised report that gives us a clear picture of your system and gives you documented proof of exactly what was checked and what was done on each visit.

Emergency lighting and fire extinguishers

To keep your fire safety under one roof, we also service emergency lighting to BS 5266 and maintain fire extinguishers alongside the alarm. One provider, one schedule, one point of contact, and consistent records across the lot.

Why maintaining your fire alarm is a legal duty

If you are the responsible person or duty holder for a building, the Regulatory Reform (Fire Safety) Order 2005 puts the fire alarm system on you. The system has to be kept in efficient working order and in good repair, which in practice means regular servicing by a competent person.

The consequences of getting it wrong are real. Fire authorities can issue enforcement or prohibition notices and, in serious cases, prosecute. An insurer can reduce or refuse a claim where a system was not properly maintained. Keeping the paperwork straight is the simplest way to show you acted with due diligence.

Fire alarm certification

Spire is registered with BAFE under the SP203-1 scheme for fire detection and fire alarm systems. That means our competence to carry out this work is checked and audited by an independent body rather than claimed by us. BAFE makes the point plainly on its own site. The scheme is modular, many providers hold only some of it, and buyers should check which parts a company actually covers before awarding a contract.

We issue all seven certificate types recognised under BS 5839-1:

Design certificate

Confirms the system design suits the building and meets BS 5839-1, including the alarm category agreed for the premises.

Installation certificate

Confirms the system was installed to the approved design and to the wiring and electrical safety standards that apply.

Commissioning certificate

Confirms the installed system has been fully tested on site and works as intended.

Handover certificate

Records the formal handover of the working system to the responsible person, along with the documentation, logbook and any user training.

Verification certificate

An independent check that the completed system meets BS 5839-1 as a whole, provided where we have designed the fire alarm.

Modification certificate

Covers changes, extensions or alterations to an existing system, confirming the modified system still meets the standard.

Maintenance certificate

Issued after a service visit, confirming the system has been inspected and remains operational and compliant.

Some companies hold only one or two of these. We can issue any of them, which matters when your job does not fit a neat start-to-finish install. For a new alarm we install, we usually provide design, installation, commissioning, handover and verification certificates. Where we have extended or altered an alarm that was already in place, we provide a modification certificate instead. We also handle the in-between jobs, a design certificate on its own, or commissioning and certification where an electrician has carried out the installation.

BAFE runs a public register where anyone can verify a provider. It is worth doing before you award any fire safety contract, and you are welcome to check us on it.

Are you an electrician or landlord who needs a fire alarm certified?

You installed or fitted a fire alarm and now you need a certificate for it. You will not find one to download, and no reputable company will email you one without seeing the system.

A fire alarm certificate is not a form. Under BS 5839-1, a certificate can only be issued once a competent engineer has inspected and tested the system against the standard for the building it protects. That check is the certificate. Skipping it leaves you with a piece of paper that means nothing to an insurer, a fire officer or a responsible person.

Fire alarm maintenance and certification FAQs

How often should a commercial fire alarm be serviced?

At least twice a year, at intervals of no more than six months, by a qualified engineer. Larger or more complex systems, and higher-risk premises, often need servicing more often. On top of that, someone on site should test a manual call point weekly.

Is it a legal requirement to maintain my fire alarm?

Yes. The Regulatory Reform (Fire Safety) Order 2005 requires fire detection and alarm systems to be kept in working order and maintained by a competent person.

Do I have to test the alarm myself between visits?

Yes. BS 5839-1 expects a weekly test of one manual call point by someone on site, rotating through them over time, recorded in the logbook. Our service visits sit on top of that, they do not replace it.

What is the difference between conventional and addressable systems?

A conventional system tells you which zone triggered. An addressable system tells you the exact device. Addressable systems suit larger or more complex buildings where pinpointing the location quickly matters.

Can I get a fire alarm certificate without an inspection?

No. A certificate confirms a competent engineer has tested the system against BS 5839-1. Without that inspection there is nothing to certify. Any certificate issued without one is not worth having.

I am an electrician. Can you certify a fire alarm I installed?
